For e-passport renewals, Pinoys in Saudi must set appointments


To help applicants save time, the Philippine Embassy in Riyadh (Saudi Arabia) has set up an appointment system for e-passport renewals. The Embassy said it will start accepting appointments for the new system on Saturday, August 27 – and accept only applicants with confirmed appointments starting September 4. “Only those with prior appointments will be processed and encoded," the embassy said. There is a 15-day waiting period before the approval of the passport applications, it added. However, applicants for lost passports and newborn children will be entertained as “walk-in" clients without the need of an appointment. No payment for setting appointments The Embassy stressed the new appointment system is free of charge and the applicants may enlist themselves directly through the following ways:

  • By e-mail to epptappt@philembassy-riyadh.org: indicate the full name, contact number and preferred time and date for appointment.
  • By SMS (text) to 0560503895 indicating the full name and preferred time and date for appointment.
  • Family applicants must indicate all the names of its members. Otherwise only one slot would be provided to them. An applicant should make an appointment at least three days before his/her intended day of personal appearance in the Embassy. An applicant can request an appointment date and time. He or she will later be informed about the date and time of appointment. If the appointment is not confirmed, the applicant must request for another appointment. The applicant should be at the Embassy at least 15 minutes before the appointment for personal appearance. Latecomers will be entertained after finishing all applicants who came on time. No long lines “With the new appointment system, applicants will be able to request for a specific date and hour during regular working days. Applicants will no longer have to wait in long lines at Window 1 for processing, and will be directly asked to proceed to the encoding area," the embassy said. "This appointment procedure reduces the process by one step or at least half an hour of waiting. It will also eliminate clogging and the long waiting time," it added. The Embassy said the Consular Section will accommodate 120 applicants every day, the daily average of passport renewal applicants. The Embassy is open Saturdays to Wednesdays from 8:00 a.m. to 5:00 p.m. and Thursdays from 8:00 a.m. to noon except on regular Philippine and Saudi holidays. Requirements The requirements for e-Passport renewals include:
  • Personal appearance
  • Original old passport
  • Photocopy of old passport (data page only)
  • Duly accomplished passport application form that can be downloaded from the Embassy website: www.philembassy-riyadh.org or obtained from Window 1 of the Consular Section or at the Information Desk at the Embassy lobby (no photo needed) The requirements for replacement of damaged passport include:
  • Personal appearance
  • Original damaged passport
  • Affidavit of Damaged passport
  • Duly accomplished passport application form (no photo needed) The requirements for replacement of lost of passport include:
  • Personal appearance
  • Police Report with English translation
  • Affidavit of Lost of passport
  • Duly accomplished passport application form (no photo needed) The requirements for newly born applicants for e-Passports include:
  • Report of Birth form accomplished in 4 copies. (Form available at the Consular Section of the Embassy or the website)
  • Arabic and English temporary birth certificate and/or other supporting documents (e.g. Notification of Birth from the clinic/hospital where the child was born) – 3 copies
  • Marriage Contract of parents duly authenticated by the Department of Foreign Affairs, Manila (if married in the Philippines) or authenticated by the Saudi Ministry of Foreign Affairs with English translation (if married in KSA) – 3 copies
  • Photocopies of parents’ passports (data page only) – 3 copies
  • Duly accomplished passport application form (no photo needed) Tips on appointment date
  • Be at the Embassy at least 15 minutes before the appointment time.
  • Proceed directly to the encoding Area for encoding
  • After encoding, proceed to Window 6 (Cashier) for payment. Passport fees A list of fees is available on the embassy website. Applicants can check the Embassy website 30 days after applying for a passport, to see if their passport is ready for release. They may also call 482-3815, 482-3559 and 482-1577 Releasing of passports The releasing of passports will be in the afternoon only from 1:00 to 4:00 p.m. Applicants have to bring:
  • Original old passport
  • Official receipt “If you cannot appear personally to collect your new passport, you may authorize a representative and give him/her a signed letter of authorization stating your full name and the representative’s full name," the embassy said. - VVP, GMA News
